We are excited to introduce new project management features within Programa. These features aim to streamline your workflow, enhance productivity, and provide better visibility into your project progress.

Task Management

With our new task management features, you can easily create, track, and manage tasks within your projects. Tasks can be customised with details such as Task Name, Description, Assigned Team Members, Target Dates, Phases, Attachments, Subtasks and Comments. For more information on how to add and manage tasks, please refer to our help guide on adding a task.

All-New Task Dashboards

Phases

Phases help you break down your project into distinct stages, making it easier to track progress and manage tasks. You can create and assign phases within your tasks or from the timeline view. For more information on creating and managing phases, please refer to our help guide on adding a phase.

Custom Project Phases

Dynamic Views

Our Project Management tool offers three different views to help you organise and track your tasks.

  • Board View: Organise tasks by status columns (To Do, In Progress, In Review, Done) for a visual workflow.
  • List View: See tasks in a detailed list format.
  • Timeline View: View project phases in a timeline format, providing a comprehensive overview of your project schedule.

Prepare your Studio

As we transition to our new Project Management tools, we want to ensure a smooth and seamless experience for all our Designers. This migration plan outlines the key changes, steps for transitioning, and what you can expect during this period. Our goal is to help you understand the upcoming updates and provide the necessary support to adapt to these new features effortlessly.

 

Key Changes

  • Restrictions on Creating New Boards
    • Creating new Boards in existing or new projects will no longer be possible. Designers can still create new task cards, time entries, and columns within existing Boards.
  • Changes to Studio WIP
    • Existing Boards will have their 'Show on Studio WIP' toggle turned off and disabled.
    • Studio WIP will be replaced by the new 'Studio' page.
    • Only tasks created in the new Project Management feature will appear on the new Studio page.

 

Detailed Steps for Current Studio WIP Users

  • Self-Migration: Designers will retain access to their old Boards and tasks, which they can manually copy over to the new Project Management feature at their convenience.
  • Turning Off Old Boards: Existing Boards will still be accessible but will have limited functionality. You will need to start using the new Project Management features for any new tasks and projects.
  • Manual Copying of Data: We understand you may have existing projects using current workflows. If you are transitioning to the new Project Management system, we recommend copying your essential tasks and data from the old Boards to the new system as soon as possible. This ensures continuity and allows you to fully benefit from the new features.

Future Releases

While we are excited about the new features coming in the beta release, additional functionalities and pages will be introduced in the next phase. These include:

  • Task Search: A search navigation to help filter through tasks.
  • Labels within Tasks: For better categorisation and prioritisation of tasks.

We have support on standby to assist you, so feel free to reach out via chat. If you encounter any issues or feel overwhelmed, we can revert you to the current normal experience.
